Parties Involved
The parties to this agreement are Lime Green (the service provider) and the client, defined as the individual or company that has paid Lime Green to assist with their accreditation process. The accrediting body may be the QCTO, DEL, SETA, or any related accrediting authority, as specified on the invoice.
Initial Communication
Lime Green provides the client with an invoice that includes hyperlinks to all necessary information the client needs to enter the process fully informed. This includes a description of the accreditation requirements and a road map of the process. The information is supplied so that cleints enter the process fully informed of what lies ahead and understands the responsibilities placed on the service provider and the client as part of the deal.
Eligibility and Mandatory Document Requirements
It is assumed that clients engaging in this process are either eligible or willing to work towards eligibility timeously. The exact document requirements are provided beforehand, ensuring the client is adequately informed before starting.
Transparency in Fees
Lime Green does not charge hidden costs. All fees are either stated on the invoice or communicated in writing. Any external expenses that may arise are not charges from Lime Green but third-party costs the client might incur in the normal process of training, or leading up to training.
Notable potential 3rd party costs the client may incur include:
- Training venue costs, a venue is needed for the audit by the accrediting body and their partners.
- OHS site safety report costing, a report is required by the accrediting body
- A small trainer linkage fee if you do not have a trainer, this goes directly to the trainer and not Lime Green.
Deadlines
The accrediting body may impose deadlines for various stages of the application process. Clients are required to engage with Lime Green, and work to meet these deadlines. Failure to engage may result in missed deadlines, leading to the lapse or closure of the accreditation process by the accrediting body. In such cases, no refunds will be provided, though a “re-connection” fee may be discussed. Lime Green reserves the right to close the process if client-side delays are unreasonable and extreme, and if reasonable communication and support was indeed supplied by Lime Green by ignored by the client.
Client Engagement
For successful accreditation, the client must actively engage with Lime Green. This includes responding to communications, providing required documents and evidence, forwarding correspondence from the accrediting body, and completing necessary tasks, such as filling in forms, drafting emails, or editing and signing documents. Lime Green does a lot, and so does the QMS supplied, but it must be noted that accreditation will not happen if the client does not engage.
No Specialist Knowledge Required by the Client
Clients are not expected to start with specialist knowledge of the accreditation process at all, but must engage during the process. The accrediting body requires the client to ultimately and eventually understand the accreditation process on at least a basic level, even if being assisted by a consultant. It is in their policy documents. All that is needed from the client is engagement and willingness to learn while being assisted and supported.
Confidentiality of Client Data
All client information is stored and handled confidentially by Lime Green. This data is not shared with any third parties beyond the client and the relevant accrediting body. For more details, please refer to Lime Green’s information manual (POPI and PAIA) on this website.
Sufficiency and Scope
For the accreditation process to succeed, the client must provide documents and information to a point of sufficiency as required by the accrediting body. Lime Green is responsible for clearly explaining what constitutes sufficiency, providing templates, and offering detailed guidance to ensure the client understands the requirements. While Lime Green will support the client and clarify requirements at every step of the process, the client must engage and supply the necessary documents as guided and required.
Confidentiality of Lime Green’s Intellectual Property and Resources
All documents, intellectual property, web guides, templates, and other resources provided by Lime Green to assist the client in the accreditation process are proprietary and confidential. These materials are supplied solely for the client’s use in achieving accreditation and may not be shared, distributed, replicated, or used except within the normal working of a training company. They cannot be used to assume a similar role to Lime Green’s role. The client’s intentions – if outside of the scope of use by a normal training company training under the accrediting body – must be disclosed before they pay the invoice.
